5.5 Communication with patients by electronic means

5.5.1. Policy

Our practice is mindful that even if patients have provided electronic contact details, they may not be proficient in communicating via electronic means and patient consent needs to be obtained before engaging in electronic communication. Electronic communication includes email, facsimile and Short Message Service (SMS).

Email is discouraged at this clinic and will not be used to communicate with patients except in exceptional circumstances. When we do email the patient, the email is to be sent securely using a PIN which is advised to the patient over the phone prior to sending.

5.5.2. Procedure

Our practice’s primary reason for communicating electronically to patients is to issue appointment reminders and we verify the correct contact details of the patient at the time of the appointment being made.

Our practice discourages the use email but acknowledges that patients are increasingly wanting contact via email.

Patients are advised of this in our Practice Information Brochure

When considering email usage this clinic shall, adhere to the Australian Privacy Principles (AAPs) the Privacy Act 1988 and any state-specific laws have an automated response to patient emails that advises them of when they are likely to receive a response.

Clearly state what content the practice team can and cannot send using electronic communication . Health information will only be discussed in a face to face consultation.

Inform patients that there are risks associated with some methods of electronic communications and that their privacy and confidentiality may be compromised.

Obtain consent from the patient before sending health information to the patient electronically (consent is implied if the patient initiates electronic communication with the practice)

Check that the information is correct and that we are sending to the correct email address before sending the information.

Advise patients that they should not use email to contact the practice in an emergency.

Password-protect the emails being sent, informing patients of the password verbally or in a separate email
